Refund & Cancellation Policy
At Black Diamond Wellness & DNA Services, we are committed to providing you with the highest level of care, discretion, and accuracy. We understand that plans can change, and we aim to be as flexible as possible while ensuring the sustainability of our mobile and clinical operations. This policy outlines our procedures for cancellations and refund requests. 1. Appointment Cancellations & Rescheduling We understand that plans can change. To receive a full refund of your service fee (minus any non-refundable deposits), we require notice of cancellation or rescheduling at least 48 hours prior to your scheduled appointment. 48+ Hours' Notice: Cancellations or rescheduling requests made at least 48 hours prior to your scheduled appointment are eligible for a full refund of the service fee, minus any non-refundable deposits and non-refundable fees described in this policy. Late Cancellations (Less Than 48 Hours): Cancellations made with less than 48 hours' notice will incur a $50 cancellation fee. No-Shows / Dispatched Mobile Appointments: "No-shows" or cancellations made once the phlebotomist has already been dispatched to your location are non-refundable. 2. Non-Refundable Fees Certain costs are non-refundable regardless of when the cancellation occurs: Administrative/Booking fees (if applicable). Shipping and handling charges for any kits already sent to the client. Credit card processing fees (typically 3–4%). 3. After Sample Collection Once the test collection process has started (including, without limitation, kit opening/prep, identity verification, consent/chain-of-custody steps, or any specimen collection attempt), the service is considered in progress and is non-refundable. We cannot offer refunds once the laboratory has begun processing your samples. 4. Inconclusive Results Black Diamond Wellness & DNA Services is not responsible for inconclusive test results. In the rare event that a sample is insufficient or a laboratory result is inconclusive, we will offer one (1) complimentary re-collection and re-test only if the inconclusive result was due to a mistake made by the collector. Refunds are not issued for inconclusive results as the laboratory work and collection services have already been performed. 5. How to Request a Refund All refund requests must be submitted in writing to [Insert Email Address] within 30 days of the original purchase date. Approved refunds will be processed back to the original payment method within 7-10 business days. 7. Policy Updates Black Diamond Wellness & DNA Services reserves the right to modify this Refund & Cancellation Policy at any time.
